Hotel cleaning & hygiene supplies — bought in bulk, ready for inspection
Housekeeping chemicals and toilet descalers for daily room turns, food-grade sanitisers for kitchens that must pass an R638 inspection, and gloves and PPE for every shift — one supplier for every property, at volume pricing.
A hotel is really three operations under one roof: housekeeping (rooms and bathrooms cleaned every day, toilets checked and descaled), a food business (kitchens and bars that need a Certificate of Acceptability under R638), and a workplace that must protect the staff handling cleaning chemicals.
Each comes with its own rules — and they all show up on your purchase orders. Below we’ve summarised what the regulations actually require, then mapped each requirement to the products that cover it, so you can stock a property (or a group of them) on one order.
What the regulations require from a hotel
Plain-English summaries, with the source for each.
Before food contact, surfaces may carry no more than 100 viable micro-organisms per cm² (SANS 5763 swab test) — and no remains of cleaning materials or disinfectants that could contaminate food. That is the case for proper food-grade sanitisers used at the right dilution. [3]
No food may be handled on premises without a valid CoA, displayed where it can be seen. The inspector checks the premises (Reg 5) and facilities (Reg 6) before issuing it. [3]
Hand-wash basins need soap and disposable hand-drying material; refuse containers must be liquid-proof, easy to clean and have close-fitting lids, cleaned regularly and disinfected when needed. Food handlers must wash hands thoroughly, and training records must be available to the inspector. [3]
Star-grading criteria score housekeeping: all bedrooms and bathrooms cleaned daily, beds made daily, and all toilets regularly cleaned and checked. Self-catering units must be supplied with cleaning agents, dishwashing liquid, a broom and a bucket with mop unless a cleaning service is provided. [5]
You must hold a GHS Safety Data Sheet for every hazardous chemical and give it to the staff who use it. Anything decanted into a trigger bottle must be labelled too, and staff must be trained before they are exposed. [4]
Where a hazard can’t be removed, the employer must provide suitable protective equipment free of charge and keep it in good, clean condition. R638 Reg 9 adds protective clothing — including head coverings and footwear — for food handlers. [6]

Frequently asked questions
What cleaning chemicals can a hotel kitchen use under R638?
R638 doesn’t list approved brands — it sets the outcome. Food-contact surfaces must be cleaned before use and carry no more than 100 viable micro-organisms per cm² (tested with the SANS 5763 swab method), and there must be no residue of cleaning materials or disinfectants that could contaminate food. In practice that means food-grade cleaners and sanitisers used at the correct dilution and rinsed as the label directs — like our Profgard range.
Does a hotel restaurant or bar need a Certificate of Acceptability?
Yes. Under R638 Regulation 3 no one may handle food on premises without a valid Certificate of Acceptability, and it must be displayed in a conspicuous place. Your local authority’s environmental health practitioner inspects the premises and facilities before issuing it.
Do disinfectants used in hotels have to be registered?
Disinfectants that make public-health claims for inanimate surfaces fall under the NRCS compulsory specification VC 8054, so they must be registered with the NRCS. When you compare disinfectants, ask for the NRCS registration number. In our range, Profgard #2 (liquid disinfectant) and Profgard #4 (powder disinfectant) are NRCS-registered — the registration numbers are printed on their Safety Data Sheets.
What must a chemical supplier give a hotel?
Under the Hazardous Chemical Agents Regulations, 2021 the supplier must provide a GHS-compliant Safety Data Sheet (16 sections) on first supply and on request, and every container must be correctly labelled. You must keep the SDS available to the staff who use the chemical. Ask us for the SDS on anything you order.
Do the spray bottles housekeeping staff decant into need labels?
Yes. Under the 2021 regulations a chemical decanted into a secondary container must be labelled, that container may only be used for that chemical, and packaging may not be mistakable for food or drink.
How often must hotel rooms and bathrooms be cleaned for TGCSA grading?
The Tourism Grading Council’s criteria expect all bedrooms and bathrooms to be cleaned daily, beds made daily and toilets regularly cleaned and checked, with linen changes and housekeeping hours increasing with star grade.
What PPE must hotel housekeeping and kitchen staff have?
Under the OHS Act the employer must first remove or reduce hazards, then provide suitable PPE free of charge where hazards remain (General Safety Regulations, Reg 2). For chemicals that usually means gloves and eye protection as the SDS directs. R638 Reg 9 adds clean protective clothing, head coverings and suitable footwear for food handlers.
What about eco-certification such as Green Key?
Green Key (run in South Africa by WESSA) requires at least 75% of a property’s daily-use chemical cleaning products to carry a recognised eco-label, and recommends concentrates with dosing systems. If you’re pursuing Green Key, tell us and we’ll confirm which products in our range carry a recognised eco-label.
Can we get contract pricing for several hotels?
Yes. Every order gets automatic volume discounts (5+ saves 2%, 10+ saves 4%, 20+ saves 5%). For group or multi-property supply, send us your list with your number of properties and we’ll quote contract pricing and delivery per site.
